The Square importer reads your catalog and customer directory with an access token you copy from Square's Developer Console, shows you what would happen before anything is saved, then brings them across in the background. Nothing in Square changes, and nothing is emailed to your customers.
What comes across
| In Square | Becomes | Notes |
|---|---|---|
| Item variation with a fixed price | Product | One product per variation, named “Latte – Large” (an item with one variation keeps its name), with its SKU, the item's description and first image. |
| Customer | Customer | Matched by email, with their phone, company, address and note. |
What doesn't come across
- Cards on file. Card numbers never leave a payment processor, so customers enter their card the first time they pay you here.
- Sales history, gift cards and loyalty. They stay in Square for your records.
- Variable-price items (priced at the time of sale), modifiers and discounts.
- Archived or deleted items, and prices in currencies other than US dollars.
Connect your account
- Sign in to the Square Developer Console and open (or create) an application named “Anytime Capital import”.
- On its Credentials page, choose Production and copy the Access token.
- In your dashboard, open Import your business → From Square, choose Production and paste it.
- Check the preview, choose what to import and start.
The token is used only to read, kept encrypted while the import runs, and deleted the moment it finishes, fails or is cancelled. Rotate it in the Developer Console once you're done if you like.
Sandbox and test mode
Square's sandbox holds test data, so a sandbox token can only be imported into test mode: switch test mode on, then choose Sandbox. Production tokens import into whichever mode you're working in.
Run it again
Each record is remembered by its Square id, so running the import again never adds anything twice. A product the import made is brought up to date as long as you haven't edited it here since, and customers only gain details they were missing. We read Square's API (version 2025-01-23) a page at a time, pausing and retrying when Square asks us to slow down; you can download every record's result as a CSV when it's done.
